The problem

Scattered records make it hard to see what is pending.

Situations many growing manufacturers recognise.

Enquiries everywhere

Enquiries arrive by phone, WhatsApp, website and sales visits, and are noted in different places.

Follow-ups from memory

Follow-ups depend on someone remembering to call the customer back.

Status in spreadsheets

Quotation and order status sits in spreadsheets, registers and chat threads.

Chasing for updates

Owners phone the team for updates on production, dispatch and delivery.

The workflow

Each step is created from the one before it.

A lead can be followed all the way to delivery. Select a stage to see what FLOW records and the reference number format it uses.

What FLOW does

Sales, orders and control, in one product.

Sales and customers

Leads
Record each enquiry with its source, product, quantity and requirement. Track it from New to Won or Lost, with a reason for every lost lead.
Follow-ups
Log each call, meeting or WhatsApp with its outcome and set the next date. Overdue and due follow-ups show on the dashboard.
Customers
One record per company with GST details and contacts (up to five numbers each), linked to its leads, quotations and orders.
Quotations
Rates and discounts come from your Product Master. Quantity discounts apply automatically; a special discount needs a reason. Share quotations as PDF.

Order to delivery

Production in batches
Split an order into numbered batches; their total cannot exceed the ordered quantity.
Product quality checks
Inspectors record measured values against the parameters set for each product.
Quantities that add up
Each stage can only use what the previous stage released, so pending quantities stay visible.
Clear handovers
Dispatch records transporter, vehicle and LR number; delivery is logged against each dispatch.

Visibility and control

Access by role
Sales executives see their own leads. Managers see the team's leads and can assign or reassign them.
Manager approval
An accepted quotation becomes an order only after the assigned manager approves it.
Records protected as work moves on
Once a later stage has started, earlier records are locked. Managers correct them with a reason, kept in the audit history.
Reminders and reports
Due follow-ups and approval requests appear as notifications. Reports cover sales and operations by period, owner or customer.
